Position Overview

Digilancer is seeking an experienced and highly organized Recruitment Operations Manager to oversee the daily operations of the Digilancer Recruit division. This role ensures that recruitment processes run smoothly, efficiently, and at scale while maintaining high standards of candidate and employer experience.

The Recruitment Operations Manager will be responsible for managing recruiter workflows, optimizing hiring processes, maintaining candidate pipelines, and ensuring that recruitment targets are met. This role acts as the operational backbone of the recruitment team, ensuring that recruiters remain productive and that the hiring pipeline remains active and organized.

The ideal candidate is detail-oriented, process-driven, and experienced in managing recruitment operations in a fast-paced environment.

Key Responsibilities

Recruitment Workflow Management

  • Oversee and manage the day-to-day operations of the recruitment process.

  • Ensure all recruitment activities—from candidate sourcing to placement—are executed efficiently.

  • Implement structured workflows to maintain consistency and quality in hiring processes.

  • Monitor recruitment progress across multiple job openings and employer accounts.

  • Ensure recruiters follow standardized recruitment procedures and best practices.

Candidate Pipeline Management

  • Manage and monitor the candidate pipeline across all job roles and hiring campaigns.

  • Ensure a steady flow of qualified candidates for active job openings.

  • Maintain an organized and up-to-date candidate database.

  • Coordinate candidate screening, shortlisting, and interview scheduling processes.

  • Identify bottlenecks in the hiring pipeline and implement solutions to improve efficiency.

Recruiter Productivity & Performance Management

  • Track recruiter activity and performance metrics.

  • Ensure recruiters meet hiring targets and productivity benchmarks.

  • Monitor key recruitment KPIs such as time-to-hire, interview-to-hire ratios, and candidate conversion rates.

  • Provide operational support to recruiters to help them achieve performance goals.

  • Conduct regular performance tracking and reporting for recruitment leadership.

Recruitment Technology & Systems Management

  • Manage the recruitment platform, applicant tracking systems (ATS), and recruitment tools.

  • Ensure accurate data entry, candidate tracking, and job management within the system.

  • Implement automation and workflow improvements to enhance efficiency.

  • Collaborate with the product and technology teams to improve the Digilancer Recruit platform.

Employer & Candidate Experience

  • Ensure smooth coordination between employers and candidates throughout the hiring process.

  • Maintain clear communication with hiring managers, recruiters, and employer partners.

  • Ensure interview scheduling and feedback processes are handled efficiently.

  • Maintain high levels of candidate and employer satisfaction.

Recruitment Reporting & Analytics

  • Prepare regular reports on recruitment performance and hiring outcomes.

  • Analyze recruitment data to identify trends and opportunities for improvement.

  • Track recruitment KPIs and provide insights to leadership.

  • Support leadership in forecasting hiring needs and resource planning.

Team Coordination & Process Improvement

  • Coordinate activities between recruiters, sourcing specialists, and interview coordinators.

  • Identify operational inefficiencies and implement process improvements.

  • Develop documentation for recruitment workflows and best practices.

  • Assist with onboarding and training of new recruiters.

Key Performance Indicators (KPIs)

  • Recruiter productivity and performance metrics

  • Time-to-hire and recruitment cycle efficiency

  • Candidate pipeline health and conversion rates

  • Employer satisfaction and recruitment success rate

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.

  • 4–7 years of experience in recruitment operations, HR operations, or talent acquisition.

  • Experience working with Applicant Tracking Systems (ATS) or recruitment platforms.

  • Proven ability to manage recruitment workflows and large candidate pipelines.

  • Experience supporting recruitment teams in high-volume hiring environments.
